📘 About SuccocoPon

What is SuccocoPon?
It's a tool for drafting email replies that connects Slack and Gmail. Gmail emails with the labels you choose are forwarded to Slack automatically, and AI suggests a reply draft. You polish it in Slack and save it as a Gmail draft. Sending always happens in Gmail, after a person has checked it.
How is this different from writing drafts with ChatGPT?
With ChatGPT on its own, you go back and forth between tabs every time: copy the email, paste it into ChatGPT, then bring the result back to Gmail. SuccocoPon does it all in one tab: read the email in Slack → get an AI draft with one button → edit it right there → save it as a Gmail draft. Another difference is that your “Opening and closing” text and “Tone instructions for AI” bring your own style into every draft.
How is it different from Gmail's Smart Compose or Help me write?
Smart Compose and Help me write are features that help you write inside Gmail. SuccocoPon is built around working out replies together as a team: you can refine a draft with colleagues in a Slack thread, and hand replies over to someone else so they don't depend on one person.
What kind of work and roles is it suited for?
It's mainly designed for client communication at production companies and agencies. It suits designers, directors, PMs, customer support staff and anyone else who spends a lot of time replying to email. It also fits organizations that want a consistent reply tone across the team.
Which environments and browsers are supported?
Use the latest version of Chrome / Safari / Edge / Firefox. For Slack and Gmail, use their own apps or web versions.
We don't currently offer desktop or mobile apps. Every feature works in the web version alone.
Is there an iOS / Android app?
No. SuccocoPon is designed to be used through the Slack and Gmail apps, so we have no plans for a dedicated app. You can edit and send drafts as usual in the Slack and Gmail mobile apps.

Are email bodies stored on your servers?
Not permanently. They're held in memory only briefly while we post to Slack and generate the AI draft, and discarded as soon as that's done. To avoid processing the same email twice, we keep only the email's ID, subject and sender as a record of the forwarding (not the body). The body of a draft you edit in Slack is deleted 30 days after its last edit. For details, see the privacy policy.
Is my data used to train AI models?
No. The OpenAI API doesn't use submitted content for training in the first place. On top of that, we set store: false so that OpenAI doesn't store the exchanges (OpenAI's own abuse-monitoring logs are deleted automatically within 30 days). Data we get from Slack isn't used for training either. We also comply with Google's Limited Use requirements.
What permissions do you request from Google?
We request the following four permissions:

Following Google's Limited Use requirements, none of them are used for anything other than providing the features.
What happens to my data if I close my account?
To close your account (delete your organization and its data), please contact us. We revoke the connection permissions right away and delete the related data (forwarding settings, records of messages, drafts and so on) within 30 days. You can also disconnect manually under Third-party apps & services in your Google account.
What does “Limited Use compliance” mean in practice?
Following the Limited Use requirements of the Google API Services User Data Policy, we limit how Gmail data is handled as follows:
- Not used for advertising
- Not sold (shared outside SuccocoPon only when needed to provide the features, such as showing emails in Slack and writing AI drafts)
- Not read by people (except for minimal exceptions such as security investigations)
- Not used to train AI or machine learning models

I can't post to a private Slack channel
Because of how Slack works, SuccocoPon has to be invited to a private channel before it can post there. Type the command below into the message box of the private channel you want to use, and send it.
/invite @スッココポンIf you see joined #channel-name right after sending it, the invitation worked.
How do I add forwarding from Gmail to Slack?
On the Forwarding rules page, register a pair of a Gmail label and a Slack channel. Emails with that label are posted to that channel automatically. If one email matches more than one pair, it arrives in each of those channels.
How do new Gmail emails get to Slack?
We use Google's notification system. SuccocoPon registers with Gmail to say “let us know when a new email arrives.” When one arrives, Google notifies us, and only the emails that match your forwarding rules are forwarded to Slack. Because of how Google's system works, this registration is valid for up to 7 days, so SuccocoPon automatically renews it every day before it expires.
I want to switch to a different Gmail account
Use the “Reconnect with another account” button on the Connections page. The previous account is disconnected automatically.

Which AI model do you use?
We currently use OpenAI's gpt-4o-mini. We're considering moving to a more capable model in the future, and offering a higher-quality model as an option.
How can I make AI drafts more accurate?
See AI tips. Writing your instructions around four points (who you're writing to, the impression you want to give, length, and what to avoid) makes the results more consistent. Setting your “Opening and closing” text also helps.
Does it work with emails in other languages?
It handles emails in Japanese and English well. Other languages may work depending on the input, but we don't guarantee the quality. We plan to keep improving support for more languages.
Does the AI read the contents of attachments?
For now, it doesn't read the contents of attachments (PDFs, images, etc.). It only looks at the email body and subject. We plan to support attachments in the future.
I want to write my own reply without an AI draft
Press the “Write my own” button in the Slack thread to skip AI and start editing from an empty draft (or one with only your opening and closing text).

What plans are there?
See the pricing page for details. There is only one plan: ¥500 per person per month (tax incl.). There is no separate personal or team plan; you're billed monthly or yearly for the number of users × the price. You can pay by credit card or by invoice (bank transfer).
Is there a free trial?
Yes, you can try every feature free for 14 days. No credit card is needed up front. When the trial period ends, forwarding emails to Slack simply stops, and you're never charged automatically after the trial. To keep using SuccocoPon, subscribe from the app's Billing page.
How can I pay?
You can choose credit card or invoice (bank transfer). For credit card (monthly or yearly), an organization admin can subscribe right from the app's Billing page (payments by Stripe). For invoice payment, please contact us; invoices are sent by email (PDF).
Can I switch between monthly and yearly billing?
Yes, please contact us to change it. Yearly billing is 1 month off (¥5,500/year incl. tax, the same as 11 months of monthly billing).
Can I cancel at any time?
Yes, you can cancel monthly or yearly billing at any time. After you cancel, you can keep using SuccocoPon until the end of the period (the next renewal date for monthly, the end of the contract term for yearly). There are no refunds for the remaining period. Card users can cancel from the app's Billing page; invoice users can cancel by contacting us.
Can you issue qualified invoices (under Japan's invoice system)?
Yes. If you pay by invoice, we issue qualified invoices. If you pay by credit card and need a qualified invoice, please contact us.
We want to use it as a company or team (who signs up?)
SuccocoPon is used per organization (company). Each person doesn't need a separate contract. The first person to sign in with a company email address gets an organization created automatically and becomes its admin. Others with an email address at the same company join the same organization automatically, just by signing in. You pay for the number of people in your contract (the number of members when you subscribed; if it changes, an admin can match it on the Billing page). For quotes, invoices, or help with setup, please contact us (bank transfer and qualified invoices are also available).

I pressed a button in Slack and got an “Operation timed out” message
Slack shows this warning when the response to an action doesn't arrive within 3 seconds. It happens occasionally, for example right after our server starts up. In most cases the processing continues in the background even after the warning, and the draft card appears in the thread a few seconds later. If the draft still doesn't appear, please contact us.
Labeled emails aren't arriving in Slack
Please check the following:
- That the Forwarding rules page has a rule pairing that label with the channel
- That the rule's status on Home is “Active” (and that “Receiving from Gmail has stopped” isn't shown)
- That the email actually has the label in Gmail
AI drafts take a long time
It usually takes 3–10 seconds. Occasionally it can take 20–30 seconds, when the AI service is busy or right after our server starts up. If it stays extremely slow (over a minute), please contact us.
SuccocoPon disappeared from Slack / isn't responding
SuccocoPon may have been removed from the channel. Run /invite @スッココポン in the channel to invite it again (the app's name in Slack is “スッココポン” in every language). If it still doesn't respond, please contact us and tell us what's happening.
